Individual and Family Plan Premium Reimbursement

This article applies to you if you have a Via Benefits reimbursement account (sometimes known as a Health Reimbursement Arrangement)*.

You can be reimbursed for your monthly plan premiums in one of three ways, Express Reimbursement, Recurring Premium Reimbursement or One-Time reimbursement.

Express Reimbursement

Express Reimbursement provides easy expense submission in just a few steps! Your reimbursement requests are created using premium information we have on file. You simply review and submit the request. We’ll do the rest.

If you’re enrolled in a plan through Via Benefits, you’ll see an informational page about Express Reimbursement when you log in to the mobile app or access your funding account on the website. You can begin your reimbursement request on this page.

Express Reimbursement is like Recurring Premium Reimbursement, in that you’ll receive your reimbursements monthly. Unlike recurring reimbursement, most Express Reimbursements don’t require supporting documentation. This is a great plus! Most reimbursement requests that are not approved are delayed because of incorrect documentation. You’ll get your reimbursement faster because the request isn’t reviewed unless supporting documentation is needed. Supporting documentation will only be required if you edit the policy period or the amount to be higher than the information we have on file. Read Express Reimbursement to learn more.

Recurring Premium Reimbursement

If your employer allows it, Recurring Premium Reimbursement can be established for eligible premiums, paid to any insurance carrier.

You only need to request reimbursement once per year for each health plan premium you'd like reimbursed unless your premium changes. Submit your reimbursement requests on the Via Benefits Accounts mobile app or on the website. They're the fastest and most secure ways to have your reimbursements processed. You can also use a Reimbursement Request Form; however, it may take as much as 10 days longer for us to receive and process your request.

After we process your request, we begin sending you regular premium reimbursements at the beginning of each month for the remainder of the calendar year. If any previous months were included in your request, you're reimbursed for those months in a lump sum.

If your employer doesn't allow Recurring Premium Reimbursement, each month you need to submit a reimbursement request, along with proof of payment.

You need to submit a new Recurring Premium Reimbursement request each time your plan renews, which is typically 12 months after the plan went into effect. You also need to submit a new request if your premium changes during the year, even if you have the same plan. Read Modifying Future Recurring Premium Reimbursement to learn more.

Read Documentation Requirements for Reimbursement to learn what documentation must be submitted with your premium reimbursement request.

We need the first month's bill for which you want to be reimbursed. If you submit a bill from midyear, only the earliest statement month forward will be approved. For example, if you submit a March statement, January and February won't be approved.

One-Time Reimbursement

One-Time reimbursement requests for premium expenses should be used in limited situations when:

  • You paid in advance for future premiums for a medical insurance annual premium.

  • You want to be reimbursed for premiums paid under COBRA.

Your Reimbursement Guide provides more details on reimbursable expenses.

You can request reimbursement by submitting a reimbursement request on the Via Benefits Accounts mobile app, the website, or a Reimbursement Request Form.

Read Documentation Requirements for Reimbursement to learn what documentation must be submitted with your premium reimbursement request. For One-Time COBRA premiums, you can submit your COBRA Premium Statement showing insurance details and covered participants.
